Excel Personnel Services is recruiting for a Customer Service / Inside Sales Assistant for a wonderful client in the Buellton area. This is a full-time, Temp-to-Hire Opportunity, Monday-Friday 8:30 - 5:00, and pay will be DOE. The client is looking for someone with strong interpersonal skills, proficiency in Word/Excel/Outlook, and a outgoing personality. A "Go Getter", with a can-do attitude, who enjoys sales is ideal!



This position requires Receptionist, Administrative Assistant, Customer Service, and Sales skills. The majority of time employee will help customer’s with orders and product information as well as assist all members of the sales force working for Excelta, and will secondarily complete Clerical and Marketing tasks.

Qualified person will have cheerful phone demeanor, excellent communication, organization, and multi-tasking skills. Relies on experience and judgement to plan and accomplish goals. This person must have a willingness to learn customized company programs and product line. Proficiency in Microsoft Word, Excel, ACT is required and most importantly is a team player.

Works under general supervision; typically reports to a Supervisor or Manager. A certain degree of creativity and latitude is required.



  • Checks inventory to make sure requested product is available
  • Computes price and any appropriate discounts
  • Handles customer complaints
  • Prepares contracts and invoices
  • Verifies customer information is correct and up-to-date
  • Informs customer of shipping date and any possible delays
  • Reviews orders for accuracy and completion
  • Strives to sell customer additional merchandise
  • Files copies of all orders received


Telephone: First incoming call answerer. Assisted and seconded by In-house Sales personnel. Involves transferring calls, screening, routing, expediting orders, and checking Price and Availability and monitoring the answering machine.


Invoicing and Sales:

  • Builds and maintains excellent customer telephone relationships with our buyers.
  • Informs customers of unit prices, shipping dates, anticipated delays, and answers questions about products, service and policy.
  • Enters customer orders into the computer and verifies price is consistent with the price shown on the customers purchase order.
  • Enter shipment confirmation information into the computer to enable invoice processing.
  • Receive customer requests for price and delivery of custom designed tools by obtaining answer from shop manager and entering quotation into the computer.
  • Tool Evaluation Program (TEP); enters requests and processes TEP’s, returns and billings if the customer chooses to buy a sample.
  • Monitor and enter Amazon and Website orders.
  • Enter outgoing RMA (Return Merchandise Authorization) to send back repaired or replaced tools.
  • Enter quotes for customers and send the information to the corresponding rep as well as the customer.
  • Print, fold and stuff invoices for Daily Mailing.


Data Management:

  • Enter new customer data and other sales data into computer database (ACT/Outlook) for mailing purposes.
  • Update Constant Contact e-mail addresses. Check on bounce-backs.
  • Input Act database w/orders & TEPS.
  • Keep up with address changes from distributors.
  • Make ECR Binders and New Distributor Binders when requested. In doing so makes sure all information included in binders is current.
  • Prepare mass mailings for the leads gathered at Trade Shows.
  • Updates Syspro CM module with customer notes / info.



  • Greet scheduled visitors and conducts to appropriate area or person.




High School graduate with 2-5 years of experience in the field.



Must have the ability to read and comprehend instructions from a supervisor and/or other customer service agents. Also must have the ability to write simple correspondence to customers, distributors, reps as well as co-workers. Also, to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Good written and verbal communication skills via telephone and email.



Intermediate PC skills and data entry skills using Microsoft Office are required. Ability to apply consistent formats, standardized style sheets, graphics, tables, and mail merge to produce quality documents in Word. Should have the ability to apply formulas, templates, links and charting capabilities to produce quality spreadsheets in Excel.



Ability to apply common sense understanding to carry out sometimes detailed written or oral instructions. Ability to handle problems effectively and patiently when dealing with customers or vendors. Ability to know when to seek help from co-workers when or if difficult situations arise.
